Job Description: Under supervision of the Technical Services Librarian, performs a variety of duties within the Technical Services unit including: ordering, processing, binding, claiming, locating and printing electronic documents, shelving of periodicals advance sheets and supplements, and assist in the supervision serials student assistant[s]. Duties require high degree of organizational, technical, communication, and interpersonal skills. Must be able to lift approximately 40 pounds.
Essential Job Responsibilities
- Ordering materials: Perform pre-order searching in library’s online catalog; Verify bibliographic and price data in trade bibliographies, vendors’ and publishers’ publications, and web sites as required; Select, edit and transfer OCLC records into Innovative’s Millennium software for use as temporary entries in library’s online catalog and generation of purchase orders; Send purchase orders of vendors both electronically and in print; Clarify standing order status regarding new editions; Request approval copies of materials when necessary; Locate and print electronic documents as required; Maintain files of original order paperwork for reference; Acquire missing pages, supplements, pocket parts, issues, new binders, additional copies and replacements
- Collection and record maintenance: Maintain tickler file of time to order items using Millennium claiming functions; Keep track of duplicates and handle returns or discards as necessary; Assist in creating reports to track acquisitions costs for cancellation review; Compile list of on-search and missing materials for Public Services unit; Maintain supplies for processing materials; Run claims monthly and address non-receipts accordingly
- Receiving / Processing library materials: Physically process periodicals, advance sheets, supplements and loose-leaf binders with security tapes, call number labels, barcodes, and property stamps; Shelve periodicals, advance sheets, and supplements as part of Technical Services Department’s “first-time-to-shelf” policy; Work with supervisor to establish/maintain appropriate processing procedures; Receive all new monographs and compare received materials against existing order records and route to cataloging
- Integrated library system maintenance: Design and implement database maintenance projects for self and student assistant[s] in conjunction with Technical Services Librarian; Modify and update item, vendor, order and bibliographic records as needed; Assist other library staff in using the integrated library system; Offer ideas for changes and improvements in procedures; Supervise student assistant in inventory project
- Bindery Preparation and Receipt: Review library system for items ready to bind and generate pull-slips using Millennium; Pull completed volumes from shelf and process titles for bindery on Millennium; Receive returned items on Millennium, review for errors, and process items of shelving; Handle correspondence with bindery
- Other Responsibilities: In coordination with supervisor, hire, train, supervise and evaluate technical services student assistant[s]; Participate in Technical Services and Collection; Development / Maintenance team meetings and projects as appropriate; Will be cross-trained for serials checkin and receipt; Assist in the opening/processing of mail; Assist in serials checkin as needed
- Perform other duties as assigned
Requirements: Requires two years library technical services experience with integrated library system, preferably in a law library and four years education (120) units or equivalent, college degree preferred. Demonstrated ability to coordinate and develop diverse and complicated workflow, prioritize tasks, and follow detailed procedures in a team environment. Must possess good oral and written communication skills, and ability to train and supervise others. Flexibility and excellent interpersonal skills a must. Must be able to physically lift approximately 40 pounds. Equivalent combination of knowledge and experience may be substituted for educational requirement. Library technical assistant certificate may substitute for some required experience with technical services in on-line library environment. Must be comfortable and productive working in a cross-departmental, team oriented environment. Must be flexible and open to learning and change.
The selected candidate must be able to pass a Background Check, which will be conducted once an offer of employment has been extended.
